Rental Terms

Please read this page fully; the information contained will provide you with a good guide to renting our vehicles.

A friendly warning

When you are looking at vehicle rental prices always make sure you are given the full story.  Ask what your liabilities are in the event of

  • theft,
  • accident,
  • breakdown etc.

We have a policy of being upfront about pricing, with us there are no hidden extras.  This is not always the case in the vehicle rental industry!

You will not turn up at Brookhire to collect your vehicle only to find out about additional costs which you have little option other than to pay otherwise you could be unable to comence your journey.

 

PLEASE BEWARE - MALVERN HILLS DISTRICT COUNCIL NOW REQUIRE ANYONE DISPOSING OF DOMESTIC WASTE AT THE LOCAL TIP, WITH A COMMERCIAL VEHICLE OR TRAILER, TO PRODUCE A PERMIT.  THIS CAN BE OBTAINED FROM THE MALVERN HUB (0845 6072007).

You do not need to produce the vehicle rental agreement or a registration number until you get to the tip.

Licences

Drivers must have held a full valid driving licence for a minimum of 12 months, although for drivers below 23 years of age or drivers hiring a minibus the minimum period is 2 years. This must show the correct categories and the appropriate amount of experience for the vehicle they wish to hire.

To hire vehicles over 3.5 tonne you need to be over 25 and under 70 with a full driving licence showing category C1. If you passed your driving test before January 1997 you will normally, automatically have this category on your licence. If you passed your test after this date you will have had to take an additional test.

Business users will be restricted by operators licence on vehicles over 3.5 tonne and will need to discuss this with us.

Overseas drivers need to produce a full driving licence which is valid in their own country, and where applicable an international driving permit.

The driver’s history (endorsements, accidents etc,) normally over the last 5 years, needs to be declared at the time of booking, but may not prohibit hiring.

Customers holding the new licence with the plastic card will need also to produce the paper counterpart when collecting a vehicle.

 

Identification

Two forms of ID are required on collection of the vehicle. These should show the drivers current address (for example, bank statement or utility bill).

 

Extra drivers

It is possible to add an extra driver to the hire agreement, subject to normal licence conditions, they will need of course to provide their driving licence prior to driving the vehicle. Please call us for details of applicable charges.

 

Age

As a rule drivers must be over 21 and under 75. However, age requirements vary with different vehicles and drivers over 70 should contact us as we may need to make special arrangements for hire in certain circumstances.

 

Insurance

Our vehicles are covered by fully comprehensive insurance. Insurance excesses apply of between £250 and £800, but can usually be reduced to £50 or £75 by paying an additional waiver.You will be quoted both prices on enquiry.

There are some types of damage which are not covered by insurance - please ask for details.

 

Breakdown cover

All vehicles are covered by 24 hour emergency roadside assistance for peace of mind. All efforts will be made to get you back on the road as soon as possible and if necessary a replacement vehicle will be provided.

 

Payment

Payment is taken either in advance, or on collection of the vehicle except where account facilities are in place.

We accept most major credit cards, cheques and cash (but please ask for details).

Penalties

All ministry penalty charges incurred, such as parking, speeding etc will incur a minimum £25 administration fee if they have to be processed through our office.

 

Deposits

Deposits are required against excesses and non-returned fuel. These are preferred in the form of a credit card number but please ask for alternative arrangements if this is a problem.

We reserve the right to charge a £25 booking deposit on any vehicle cancelled or not collected as arranged.

In the case of foreign travel this charge increases to a minimum of £100 to cover additional costs incurred in advance for documentation required before a vehicle can leave the country.

 

Foreign Travel

It is possible to take many of our hire vehicles abroad. You will need to tell us your destination, length of hire and estimated mileage and the vehicle you require in order for us to give you a tailored price. Our price will be inclusive of all the additional documentation and cover necessary to take a vehicle out of the country

Taking some vehicles abroad can be restricted by current European legislation so please talk to us about your requirements in advance.
